When should I migrate?

While your organisation can migrate to Office 365 at any time. Here are a few trigger points that may prompt you to migrate. Either because they will lead to cost-savings or business efficiencies.

Trigger #1 – you are replacing an old server

If your server needs upgrading it is likely you will need to upgrade and renew your Microsoft Exchange (email) licenses. If you are thinking of migrating to Office 365 within the next year you are likely to be able to save money by not having to renew any licenses. Office 365 is a subscription-based service, so you are not charged separately for licenses.

Trigger #2 – you are renewing your anti-spam software

Because Office 365 includes in-built anti-spam software you do not need to buy it separately.

Trigger #3 – you are updating your suite of Microsoft Office products

When you buy Microsoft Office you do not get automatic updates when improvements are made. This could mean you have to buy the new version of Office. Conversely, when you use Office 365 the updates take place automatically. This means it is a lot less hassle to maintain your software updates. Furthermore your teams will always be using the latest versions and any new tools which are introduced.

Trigger #4 – your business needs have changed

With more employees working remotely there is an increasing need for tools which aid collaboration and file sharing. Office 365 includes a number of applications which can help people work more effectively when away from the office. Skype for Business, for example, can aid communication, and Sharepoint can help people to share documents.

Making a smooth transfer

While the benefits of Office 365 are clear, many organisations are hesitant about introducing it simply because they fear disruption. However, if you are reaching one of the trigger points outlined above, the benefits will almost certainly outweigh the effort involved in the migration.
